This policy explains how The Homekeeping Collective handles enquiry and booking information for premium home cleaning and bespoke property care services.
Last updated: 30 June 2026. This policy is written for website visitors, prospective clients and clients who request or confirm a bespoke quote.
The Homekeeping Collective uses personal information carefully and only for clear business purposes, such as responding to enquiries, preparing quotes, arranging cleaning services and keeping appropriate records.
Who we are
The Homekeeping Collective is a premium home cleaning and bespoke property care company serving Wolverhampton, Birmingham and the wider West Midlands. The Homekeeping Collective is the controller of personal information collected through this website and direct enquiry conversations.
Information we collect
- Name, phone number, email address, postcode or area and any address or location details you choose to provide.
- Property type, number of bedrooms, number of bathrooms, main service needed, specialist add-ons, preferred timeframe, message notes and consent to be contacted about the enquiry.
- Booking details, access notes, parking details, key or alarm notes, pet information, risk notes and special instructions where these are provided later.
- Payment, invoice, tax and administration records where a service is booked.
- Communication history from the website, email, phone, text, WhatsApp or other agreed enquiry channels.
- Photos you choose to provide for quoting, service planning, quality control, before/after records or resolving a service concern.
- Basic technical information from website hosting logs, where available, such as page requests, dates and times, used for security and site operation.
Where information comes from
Most information is collected directly from you when you make an enquiry, request a quote or discuss a booking. If an enquiry is made by a landlord, property manager, tenant, family member, employer or authorised contact, information may be provided by that person for the purpose of arranging the service.
Why we use information
- To respond to enquiries, understand requirements and prepare bespoke quotes.
- To arrange bookings, confirm the agreed scope and send booking confirmations.
- To send pre-job reminders, access requests and practical service information.
- To deliver, manage and follow up on cleaning services, including review request emails where appropriate.
- To confirm access, timing, parking, property condition and safe working requirements.
- To manage customer communication and keep internal enquiry, service, payment, tax, accounting and business administration records.
- To deal with questions, complaints, quality control matters or legal responsibilities.
- To maintain website security and understand whether the enquiry process is working properly.
Lawful basis
The lawful basis will usually be one or more of the following: taking steps before entering into a contract, performing a contract for booked services, meeting legal obligations such as accounting or tax record keeping, and legitimate interests in running the business, managing enquiries, protecting property, keeping records and resolving service issues.
Consent may be used where needed for optional marketing communications or for using identifiable photos publicly. Consent can be withdrawn. The current website does not include a newsletter sign-up or automated marketing preference system.
Sharing information
Information is not sold. It may be shared only where needed with trusted people or service providers involved in handling the enquiry, managing communication, administering the booking or delivering the agreed service.
Trusted service providers and tools may include the website hosting provider, Google Workspace or Gmail for email, Google Sheets for internal records, Google Calendar if used for booking management, Make.com for automation and workflow processing, payment providers, accountants, professional advisers and authorities where legally required.
Where service providers process information on behalf of the business, they should only use it for the relevant service and protect it appropriately.
Photos and before/after images
Photos may be used privately to assess a quote, plan a service, document property condition, support quality control or resolve a concern. Identifiable customer photos or before/after images should not be used publicly for marketing without permission.
Marketing communications
The current website is focused on enquiries and does not operate a marketing mailing list. If marketing emails, SMS messages or remarketing tools are introduced later, the business should provide clear choices and opt-out options before using them.
How long information is kept
Enquiry information that does not become a booking is normally kept only for as long as needed to respond, follow up and manage reasonable business records. Booking, payment and service records may be kept for longer where needed for accounting, tax, insurance, complaint handling or legal purposes, often for up to six years.
Photos or access notes supplied for a quote or booking should be kept only while they are useful for the enquiry, service delivery, quality control or any related issue.
Your rights
You can ask to access, correct, delete, restrict or receive a copy of your personal information. You can also object to certain uses of it, and you can withdraw consent where consent is being relied on. Some rights depend on the lawful basis and the reason the information is held.
Use the contact page or email hello@thehomekeepingcollective.co.uk to make a privacy request. The business may need to confirm your identity before responding.
Cookies and analytics
This static website does not intentionally set analytics cookies, advertising pixels or tracking technologies at this time. The Cookies Policy explains the current position. If analytics, advertising pixels, chat widgets or booking tools are added later, the privacy wording, cookies wording and any consent controls should be updated before those tools are used.
Security
Reasonable care should be taken to keep enquiry and booking information secure, limit access to people who need it, use suitable service providers, and avoid collecting information that is unnecessary for the service.
Automated decisions
The Homekeeping Collective does not use the current website to make solely automated decisions about customers or bookings.
Complaints
If you have a concern, contact The Homekeeping Collective first at hello@thehomekeepingcollective.co.uk so it can be reviewed. You may also contact the UK Information Commissioner's Office if you are unhappy with how personal information is handled.
